Royal Palm Academy is a joyful, vibrant, independent, and family-oriented Catholic PK-8 school located in beautiful Naples, Florida. Royal Palm Academy has an opening for a full-time Business Office Specialist.  Applications are being accepted immediately, and interviews will be scheduled for competitive candidates on a rolling basis until the position is filled.

POSITION SUMMARY:

We are seeking a detail-oriented and reliable Business Office Specialist to join our finance team. This role is critical to the smooth operation of our business office, balancing technical financial tasks with front-facing customer service.  The ideal candidate is comfortable handling Accounts Payable and check processing while serving as a helpful point of contact for families regarding tuition, scholarships and account inquiries.

PREFERRED QUALIFICATIONS:


  • Relevant work experience in a private school, non-profit, or business accounting function.
  • An undergraduate degree in accounting or a related field.
  • Prior experience in the role of Bookkeeper or Accountant is highly favorable but not a hiring pre-requisite.


SPECIFIC RESPONSIBILITIES:

Accounts Payable and Financial Processing:  

  • Manage the full-cycle accounts payable process, including coding invoices, verifying approvals, and data entry into the accounting system.
  • Prepare and process weekly check runs and electronic payments ensuring accuracy and timeliness.
  • Reconcile vendor and credit card statements and resolve billing discrepancies.
  • Maintain organized financial files and assist with month-end closing procedures.

Accounts Receivable, Tuition and Scholarship Management:

  • Input and maintain accurate data regarding tuition billing, state scholarship awards and school financial aid.
  • Assist in reconciling scholarship accounts against the general ledger.
  • Assist Parents with billing questions.

Customer Service & Administration:

  • Serve as the primary point of contact with the Business Office via phone, email, and walk-ins. 
  • Handle supply ordering for the school. Perform general clerical duties including filing, mailing, and ordering office supplies.

  • Provide excellent customer service to our parents, teachers, and staff.
  • Proficient with technology, accounting systems including QuickBooks, Microsoft Office and student information systems.
  • Professional written and verbal communication skills.
  • Reliable, flexible, organized, hard-working, patient, detail oriented.

 

POSITION DETAILS:


  • Full time, on-site, 12-month administrative staff position.
  • 40 hours per week (typically 7:30 – 4:00 daily).
  • Starting at $26-30/hour with increases based on performance and expanded responsibilities.
  • Reports to Chief Financial and Operating Officer through the Finance Director.
